How to give Collaborator Access in Shopify

Do you use Shopify to run your e-commerce store and need to add staff to manage your inventory? Or perhaps you work with freelancers who handle your marketing. If anyone else requires access to your Shopify store, this guide is for you.

Shopify allows you to grant two types of access: staff permissions or collaborator permissions. In this article, we’ll explain how to set up both.

How to give staff permissions in your Shopify store

1. Log in to your Shopify store admin page.

2. Click on Settings at the bottom of the toolbar on the left-hand side.

3. Choose Users and permissions.

4. To add someone new, click on Add staff.


5. Add the staff member’s name and email address.

6. You can then choose the permissions you want to grant, if you want to grant all permissions, click Select all.

7. Once you’ve chosen the right permissions, click Send invite.

8. Your staff member will receive an email – they must follow the steps in the invitation to ‘Create staff account’ or log in with their Shopify ID.

How to give collaborator access in Shopify

If you’re working with an agency or freelancer, you may want to grant them access to your store without adding them as a staff member (since the number of staff members is limited by your plan).

In this situation, you can add them as a collaborator, which won’t affect your staff member limit.

They’ll access your store via their own Shopify Partner Dashboard or the Shopify app.

To grant access, the collaborator needs to send you a request first. If you’ve enabled request access codes, you’ll need to share the code with them so they can submit the request.

So, how do you send a collaborator request in Shopify? The process is straightforward and begins with creating an access request code.

How to set up a Shopify request access code for collaborators

For security, you can set up a 4 digit request access code. This way, you will only receive genuine requests from people who are collaborating with your store.

1. Head to Users and permissions.

2. Go to the Collaborators section.

3. Select Only people with a collaborator request code can send a collaborator request.

4. Click Generate new code.

5. Your agency or freelancer will need to ask you for this code before they can send you a Shopify collaborator request.
